Checked before we quote

Compliance questions are cheap to answer before a quote goes out and expensive to answer after an award. We do the checking while we're building the quote, so what reaches you has already cleared — and the certificates that evidence it are yours for the asking.

Section 889

Every line is screened against the covered-entity list before it's quoted — no prohibited telecommunications or video surveillance equipment. This applies at every dollar value, including micro-purchases, which is why it's the first thing we check rather than the last.

Including the rebadged ones

The common trap isn't a covered brand on the box — it's a familiar domestic brand selling a rebadged covered product. We screen the manufacturer behind the label, not just the label. On technology this is where nearly all the real exposure sits: IP cameras, recorders, low-cost switches, access control and two-way radio.

Signed representation

Available on request for any order, and included by default on quotes where the category warrants it.

Country of origin

Origin is confirmed with the distributor and noted on the quote, per line.

We'll be straight about when it's required

Below the micro-purchase threshold, neither the Trade Agreements Act nor the Buy American Act actually attaches — they apply at much higher dollar values. Some suppliers imply otherwise. We state origin anyway, because the record costs nothing to build and matters the moment a requirement grows past the threshold.

If we can't confirm it

We don't quote the line. You'll hear that the same day, with a reason.

Sourcing and warranty

Everything we sell comes through authorized U.S. distribution — no marketplace resellers, no liquidated stock, nothing we can't trace back to the manufacturer.

That's a compliance decision before it's a quality one. Authorized channel is what makes origin verifiable in the first place, and it's the reason every item arrives with its full manufacturer warranty intact rather than a reseller's promise standing in for one.

Certifications and documents on request

Authorized channel is what makes this list possible. Because the goods move through the manufacturer's recognized distribution, the paperwork behind a line is obtainable rather than improvised.

  • Section 889 representation — signed, for any order
  • Country of origin declaration — per line, with TAA-designated status where a requirement calls for it
  • Authorized-channel confirmation — written confirmation of how the goods reached us
  • Manufacturer warranty confirmation — term, coverage, and registration in your agency's name
  • EPEAT and ENERGY STAR — registration status for the specific SKU, where the category is covered
  • RoHS, REACH and certificate of conformance — where the manufacturer issues them
  • Battery shipping documentation — UN 38.3 and safety data sheets for lithium cells and UPS packs
  • Certificate of insurance — naming your agency where required
  • Capability statementalso published here

Name it on the requirement. Everything above is routine to obtain before a line ships and awkward to chase once it has. Ask at info@copperstatesupplyco.com and you'll have it the same day.

The one we can't send yet

A W-9 needs a federal EIN, and ours is applied for rather than issued. Until it lands we cannot complete vendor setup in your system, and you should know that before you open a requisition rather than after. Every registration and where it stands is published in full.
